E-commerce Automation Engine
Backend automation system for managing orders, inventory sync, and customer communication.
Manual order processing and tracking caused delays and errors.
Built event-driven automation handling order lifecycle, notifications, and integrations.
- Faster order processing
- Reduced errors
- Improved customer experience
Overview
This system automates the core backend operations of an e-commerce business. It listens for events from your storefront (e.g., new orders, inventory changes) and executes a series of defined workflows to manage the order lifecycle, synchronize data across platforms, and handle customer notifications.
Problem Statement
Manual order processing, inventory tracking, and customer communication are time-consuming and prone to human error. These inefficiencies lead to processing delays, stock discrepancies, and a degraded customer experience.
System Solution
We built an event-driven automation engine. It acts as a central hub that ingests events from sources like the Shopify API via webhooks. Based on the event type, it triggers specific workflows to handle tasks such as order fulfillment, inventory updates across multiple channels, and sending status emails or SMS to customers.
Technical Architecture
- Event Ingestion Layer: Configured webhook endpoints receive real-time events from connected platforms (e.g.,
order.created,inventory.updated). - Workflow Engine: A central orchestrator evaluates incoming events and executes the corresponding predefined automation sequences. For example:
Event: order.paid
Actions:
1. Validate order details.
2. Reserve inventory in the central database.
3. Generate and send an order confirmation email.
4. Create a task in the shipping provider's system.
- Integration Hub: Pre-built connectors and adapters for common services (Shopify, shipping carriers, ERP systems, email/SMS providers).
- State Management: Maintains the status of each order and workflow execution for idempotency and audit trails.
Key Impact
- Faster Order Processing: Orders move from payment to fulfillment without manual intervention.
- Reduced Errors: Automated data validation and syncing eliminate manual entry mistakes.
- Improved Customer Experience: Proactive, timely notifications keep customers informed at every stage.
- Operational Scalability: The system easily handles increases in order volume without requiring additional staff.
Technology Stack
This system is implemented using:
- Shopify API & Webhooks for e-commerce platform integration.
- Custom Automation Workflows to define business logic.
- A lightweight message queue for reliable event handling.
- A primary database for maintaining order state and logs.
